AI chatbots for small businesses in the UK: costs and options
What an AI chatbot can realistically do for a UK small business, the three ways to get one, and what UK agencies and platforms publish about price.

An AI chatbot is the most common first AI project for a small business: it sits on your website (or WhatsApp, or Facebook Messenger) and answers questions, captures enquiries and, if connected to your systems, books appointments. Here is what is realistic, the three ways to get one, and what UK providers actually publish about price.
What a modern AI chatbot can do
Older chatbots followed rigid decision trees (“press 1 for opening hours”). Today’s AI chatbots use a large language model plus your own content, so they can answer questions phrased in any way. Typical small-business uses:
- Answering repeat questions about prices, opening hours, delivery, returns or services, from your own website and FAQs.
- Capturing and qualifying leads out of hours: asking a few questions and passing the details to your inbox or CRM.
- Booking appointments or call-backs by connecting to a calendar or booking system.
- Handing over to a person when the question is sensitive, complex or the customer asks for a human.
What they don’t do well: anything where a wrong answer is costly (legal, medical or financial advice), or where your own information is patchy. A chatbot is only as good as the content it is given.
Three ways to get one
1. A self-serve platform
Customer-service platforms now bundle an AI agent you can train on your help content. You pay a subscription and usually a usage charge. As one published example, Intercom lists its Fin AI agent from $0.99 per “outcome” (broadly, a resolved conversation), with its Essential plan at $29 per seat per month billed annually (prices in US dollars, checked 11 October 2026). This route suits businesses happy to set things up themselves.
2. A managed plan from a UK agency
Several UK agencies offer a chatbot (often alongside a voice agent) as a monthly service: they set it up, connect it to your tools and keep it running. Published prices in our directory include:

3. A custom build
If the chatbot needs to work inside your own systems (a booking platform, a stock database, a client portal), agencies quote per project. Examples of published starting points: Crownbot (foundation package from £800), Neura North (fixed-price builds from £1,500) and AIMpress (from £1,500). Questions to ask before you buy
- Where does it get its answers? Ask how the knowledge base is built and how you update it.
- What happens when it doesn’t know? You want a clear handover to a person, not a confident wrong answer.
- Where is conversation data stored, and for how long? If customers share personal data, you need to cover this in your privacy notice. The ICO’s right to be informed guidance explains what to tell people.
- What does it cost at your volume? Per-conversation pricing is cheap at low volume and can grow quickly. Ask for an estimate based on your real enquiry numbers.
- Who owns the setup if you leave? Check whether the prompts, knowledge base and integrations can be exported.
